Administration Assistant

Administrative Assistant to open, sort and distribute incoming correspondence related to outsourced team for Global Brands Group.

1.Maintain confidentiality in all aspects of client and outsourced engineers.
2.Open, sort and distribute incoming correspondence related to outsourced team.
3.Prepare responses to correspondence containing routine inquiries.
4.Perform general clerical duties to include, but not limited to, copying, faxing, mailing and filing.
5.Keep eye on outsourced engineers and their daily availability.
6.Contribute in handling outsourcing replacement in case of absence of origin outsourced engineer.
7.Coordinate with HR the outsourced engineers facilities to include, but not limited to Salaries and ATM
8.Assessing Outsourced engineers by sending monthly or as agreed survey to customers.
9.File and retrieve Outsourcing contracts documents, records and reports.
10.Keep eye on contracts renewal dates.
11.Manage outsourcing contract renewal.
12.Coordinate and maintain records for outsourced engineers, office space, telephones, Company debit card and office access keys.
13.Create and modify documents such as invoices, reports, memos, letters and financial statements using word processing, spreadsheet, database and/or other presentation software such as Microsoft PowerPoint.
14.May conduct research, compile data and prepare papers for consideration and presentation to the outsourcing managers.
15.Set up and coordinate meetings and conferences.
16.Prepare agendas and make arrangements for committee other meetings.
17.Attend committee meetings or other meetings as requested in order to record minutes.
18.Compile, transcribe and distribute minutes of meetings.
19.Make travel arrangements for staff.
20.Assists in special events, such as Team outing activities and the annual meeting.
21.Other duties as assigned by Outsourcing Manager.

Knowledge, Skills and Abilities:
1.Computer literate.
2.Communicate using English language.
3.Good writing, analytical and problem?solving skills.
4.Knowledge of principles and practices of organization, planning, records management and general administration.
5.Ability to communicate effectively by email.
6.Ability to operate standard office equipment, including but not limited to, computers, telephone systems, copiers and facsimile machines.
7.Ability to follow oral and written instructions.

Minimum Qualifications:
1.At least one (1) year experience in general office responsibilities and procedures.
2.Must be computer literate.
3.Knowledge of principles and practices of basic office management and organization.
4.Knowledge of the basic principles and practices of bookkeeping.
5.Ability to work well either alone or as part of a team.
